How to Book
EWT Tours bookings start with a free 20-minute consultation call. You can schedule one online or contact us via the inquiry form on any tour page. After consultation, we’ll provide a written quote, and once you confirm, we collect a deposit to secure your spot.
Deposits
A non-refundable deposit is required to confirm your booking. Deposit amounts vary by tour and supplier:
- Cruise tours (Princess, etc.): typically $200–$500 per person, due at booking
- Land tours: typically 25% of the tour price, due at booking
Specific deposit amounts will be outlined in your written quote.
Final Payment
Final payment is due according to the supplier’s schedule, typically:
- Cruise tours: 90 days before departure
- Land tours: 60 days before departure
Specific payment due dates will be confirmed in your booking confirmation. We accept Visa, Mastercard, American Express, Discover, ACH bank transfer, and check.
Cancellation Policy
Cancellation terms vary by supplier and depend on how close to departure you cancel. General guidelines:
- 91+ days before departure: Full refund minus deposit (which converts to a future-trip credit valid 24 months)
- 60–90 days before departure: 75% refund minus deposit
- 30–59 days before departure: 50% refund minus deposit
- 15–29 days before departure: 25% refund minus deposit
- 0–14 days before departure: No refund
Specific cancellation terms for your tour will be outlined in your booking confirmation. Cruise lines and other suppliers may have different timelines that we follow.
Travel Insurance Strongly Recommended
Travel insurance can cover most cancellation scenarios — illness, family emergencies, weather disruptions, etc. — that wouldn’t otherwise be refunded. We strongly recommend purchasing travel insurance at the time of booking. We can recommend providers but do not sell insurance directly.
Trip Changes by EWT Tours
In rare cases, EWT Tours may need to modify or cancel a trip due to:
- Insufficient bookings to meet minimum group size (we will notify you no later than 60 days before departure)
- Supplier cancellations or changes
- Force majeure events (natural disasters, pandemics, etc.)
If we cancel a trip, you’ll receive a full refund or the option to transfer to a future trip.
Trip Changes by You
You may transfer your booking to another traveler up to 60 days before departure (subject to supplier rules). Name changes, date changes, or cabin upgrades may be possible depending on availability and timing — contact us as early as possible to discuss.
Single Travelers
About a third of EWT Tours guests travel solo. Cabins are priced for double occupancy, so a single supplement applies to private rooms (typically 50–100% of the per-person rate). We also maintain a roommate-matching list for solo travelers willing to share to reduce the supplement.
Group Size
EWT Tours caps every group at 16 travelers. Once we reach 16 confirmed bookings, the trip is full and no further reservations are accepted.
Passport and Visas
You are responsible for ensuring you have a valid passport (typically required to be valid 6+ months past your return date) and any necessary visas. We provide guidance specific to your itinerary in your trip packet.
Special Requests
We do our best to accommodate dietary restrictions, mobility considerations, room preferences, celebration occasions, and other special requests. Please share these at the booking stage so we can plan accordingly.
